Finance Report Questions

1. What does it mean when you say the Financial Management System is real time?

Transactions entered within the Oracle system should post within minutes - such as approved journal entries and cash receipts entries. Transactions taking place outside of Oracle (such as Payroll, Procurement and Student) will not be reflected in the General ledger until the scheduled interfaces have successfully completed.

2. The chart values have all changed from the legacy systems. Is there a report that can give us a 'cheat sheet' of all the values and the descriptions?

Use RU GL 003 for the general ledger Chart of Accounts Segment Listing and use RU PJ 013 for the project subledger Chart of Accounts Segment Listing.

3. Is there payroll detail in the Financial Management System?

No. Payroll transactions are summarized and posted to the financial management system. If you want to view payroll employee details, this information will reside in the PeopleSoft system and the Financial Data Warehouse, including the Payroll Distribution Report and the Employee Status Report.

The GoTo Reports page on the Controller's website has a full listing of recommended reports organized by task.

5. Will all reports be available to everyone or will some reports be restricted?

Some reports built for specific purposes may be restricted to  certain users, such as the system maintenance reports, but there  are no report restrictions based on the Unit, Division and Organization (UDO).

Is there a report that lists all Chart of Account segment values and their descriptions?

Yes.  

For the General Ledger it is RU GL 003 – Chart of Accounts Segment Listing.

For the Project Subledger it is RU PJ 013 – COA Segment Listing

7. Where can I view General Ledger account balances?

There are several ways to do this in the Oracle system.

We recommend using the RU GL 088 Trial Balance with Account Number report for balance summaries and the Inquire on Detail Balances dashboard in the Oracle system to examine period activity.

8. Can I save an OTBI query for future use?

Yes, your OTBI queries can be saved under 'My Folders'.

10. When running a report or saved query, all values show up as '0'. How can I fix this?

This is often due to not changing the default currency setting in the Oracle application.

In order to see results in the RU Saved Queries, the currency setting must be set to “Ledger Currency”.

 

  1. After you login to the financial management system, click the Tools icon.
  2. Click the Reports and Analytics icon
  3. Click the Catalog () icon
  4. On the right hand side use the drop down arrow next to your name to select My Account.
  5. On the Preferences tab, select Ledger Currency using the drop down arrow in the Currency field. Click OK.
  6. When all desktop settings have been completed, logout of the Financial Management System, close your browser, and log back in.

11. When running a report or saved query, all values are blank. How can I fix this?

This is typically an access-related issue. Check with your supervisor that you have been assigned the relevant roles. If you need to request access to additional security roles, fill out the relevant form here.

12. What is the difference between the “Entered” Debit/Credit and the “Accounted” Debit/Credit?

For our purposes there shouldn’t be any difference since we are using a single currency of USD for “Entered” and not performing any currency conversions for “Accounted”. The “Accounted” amounts should be used for analyses.

13. I am receiving an error message when running a report in the FRC: "Error: internal Essbase JAPI error: Cannot uniquely identify a member. The name _____ is duplicated. What do I do to fix this?

You will want to ensure that your POV preview is set via the instructions in this document and then re-select each parameter using the "select" button.

14. I am receiving an error message when running a report in the FRC: "Error: Internal Essbase JAPI error:  [Cannot get cube information. Essbase Error(1013204): Client Commands are Currently Not Being Accepted]". What do I do to fix this?

This most likely explanation is that maintenance is being performed on the Essbase cube used to access the data you requested in the report. You will have to wait until maintenance is completed to access the report.

15. I am receiving an error message when running a report in the FRC: "ADF_FACES-60097...". What do I do to fix this?"
FACES error occurs when your requested search for reporting information returns an excessive amount of data. To fix this issue, close out of the Financial Management System completely, log in again, and refine your report search parameters.
